Collection is recorded before the wheels turn

The driver photographs the vehicle at collection: panels, mileage, condition notes, keys and any documents travelling with it. That is the proof of collection. It is captured on the device before the car or van moves.

If something is already marked, it is on the record at the start. That is the point. A dispute two days later is an argument without photos. A dispute with the POC in hand is a fact.

Photographs at collection

Every panel, plus the mileage reading, against that registration.

Condition noted on the device

Not a paper pad in a cab. The record is digital from the first photo.

Delivery is signed, then the proof goes out

At the far end the driver takes the same record again and the person receiving the vehicle signs on the device. That is the proof of delivery.

Digital proof of collection and delivery provided, emailed when the handover is done. The office closes the job against that file. You close it the same way. There is not a second report to chase.

Signature on delivery

Captured at handover and included in the digital proof. A drop on a kerb with no name is not a close.

Digital proof, both ends

Proof of collection and proof of delivery together, held against that registration.

Why the office insists on it

Retail handovers, lease returns and de-fleets all get argued about later. The digital proof is what the argument is decided on. We do not run a job without it. We do not treat it as an optional extra on the invoice.

If you need the report sent to more than one mailbox, say so when you book. The office will copy who you name.

In practice

This is the file that closes the job

A real proof of collection, identifying details removed. Photographs, mileage, notes and the signature, in the digital proof. You do not produce this. You receive it.

How it runs

What actually happens

Four steps. Most of them are ours rather than yours.

  1. 01

    Driver arrives and photographs

Panels, mileage, keys and documents, before anything moves.

  2. 02

The vehicle is driven on trade plates

One driver, door to door. No depot in the middle.

  3. 03

    Handover and signature

The same record at delivery, signed by the person taking the vehicle.

  4. 04

    Proof emailed

Proof of collection and proof of delivery together. The job is closed.
