Terms and Conditions

Everything you need to know about our responsibilities and your commitments.

  1. Pricing and Expenses
    All prices quoted exclude tolls, congestion charges, fuel, and other incidental expenses, unless expressly confirmed in writing at the time of booking.

  2. Cancellations
    Cancellations must be made by 1pm on the working day prior to the scheduled movement. Cancellations after this time will be charged at the full agreed movement rate. Repeated cancellations may require prepayment for future bookings.

  3. Waiting Time Charges
    OVM reserves the right to charge waiting time at the agreed rate for any delay outside of OVM’s control, including vehicle readiness, unavailable keys, or incomplete paperwork.

  4. Vehicle Condition and Compliance
    Customers are responsible for ensuring that all vehicles meet the following:
    • Legal and roadworthy
    • Valid MOT
    • At least one working key
    • Free of fluid leaks or hazardous defects
    • Fuel & Charge Requirements:
      • Petrol and Diesel vehicles: Sufficient fuel to reach the nearest filling station
      • Electric vehicles: Must have at least 25% charge or enough to reach the nearest suitable charging point, whichever is greater

    Vehicles that are unsafe, excessively dirty, non-starting, or not ready for transport may incur an aborted movement fee. OVM reserves the right to refuse collection in such cases. A £30 per hour waiting fee applies for time spent charging EVs.

  5. Digital Inspections and Signatures
    All vehicle handovers are documented via OVM’s digital Proof of Collection (POC) and Proof of Delivery (POD), including timestamped photos and digital signatures. These serve as the final, legally binding record of condition.

  6. Vehicle Damage and Liability
    OVM is only liable for direct physical damage caused during movement. We are not liable for:
    • Stone chips, road debris, or environmental damage
    • Tyre or alloy damage (punctures, blowouts, rim cracks, scrapes)
    • Mechanical issues or poor maintenance
    • Any consequential losses (e.g., missed sales, downtime, reputational loss)

  7. Breakdown & Recovery
    In the event of a breakdown, OVM can arrange recovery at cost +20% admin fee, subject to customer consent. If the customer chooses to arrange recovery, a £30 per hour waiting fee applies.

  8. Appraisals, Inspections & Buyer’s Vehicles
    OVM will note any visible factors that may limit the appraisal such as poor lighting, dirt, or weather within our digital Proof of Collection (POC) and Proof of Delivery (POD) records. In such cases, the customer accepts full responsibility for any issues not identified at the point of collection.

    Please note: Our drivers are not qualified mechanics and cannot be held liable for mechanical or hidden faults discovered after delivery. At the customer’s request, a short test drive may be carried out, with any observations reported in good faith.

  9. Non-Running & Specialist Vehicles
    Customers must inform OVM in advance if the vehicle is non-running, modified, oversized, or requires special loading. Additional charges may apply. Failure to disclose may result in an aborted job and full movement fee.

  10. Aborted Movements
    Movements may be aborted and fully charged if:
    • The vehicle is inaccessible, unsafe, or not as described
    • Keys or documents are missing
    • The booking information is incomplete or misleading
    • Delays exceed reasonable wait time without prior arrangement

  11. Insurance Claims
    • Claims under £2,000 require two written estimates for approval.
    • Claims over £2,000 will be referred to OVM's insurer. Their outcome is final.
    • OVM is not liable for downtime, lost sales, reputational damage, or other consequential losses.

  12. Claims Process
    Claims must be:
    • Made in writing within 1 working day of delivery
    • Supported by the POC and POD records
    Claims made outside this timeframe, or without supporting evidence, may not be accepted. OVM reserves the right to obtain independent inspection or estimates.

  13. Electric Vehicles
    Electric vehicles must have at least 25% battery charge or sufficient charge to reach the nearest suitable public charging point, whichever is greater at the time of collection. If the driver is required to charge the vehicle, a £30 per hour waiting fee will be applied and invoiced accordingly.

    OVM is not liable for any delays, additional costs, or aborted movements caused by insufficient charge, faulty charging ports, charging incompatibility, or failure to meet this condition.

  14. Delays & Force Majeure
    OVM is not responsible for delays or failure to complete a job caused by:
    • Adverse weather
    • Road closures or traffic incidents
    • Vehicle or equipment failure
    • Staff illness or absences
    • Strikes, protests, or public disturbances
    • Other events outside of OVM’s control

  15. Right to Refuse or Reassign Jobs
    OVM reserves the right to:
    • Decline any booking at its discretion
    • Reassign drivers or change delivery times if required
    • Refuse service if the customer’s conduct, vehicle condition, or location risks the safety of our staff or company reputation

  16. Authorisation & Ownership
    By booking with OVM, you confirm that you are the legal owner of the vehicle or have the legal authority to request its movement. OVM accepts no liability for ownership or access disputes.

  17. Payment Terms
    • Payment is due within 14 days of invoice unless otherwise agreed
    • Late payments may incur a £50 late fee
    • Continued non-payment may result in suspension of services

  18. Data Protection
    OVM collects only the personal and vehicle data required to fulfil services and comply with legal obligations. Data is securely stored and never shared outside of legal necessity. OVM operates in full compliance with GDPR.

  19. Dispute Resolution
    We aim to resolve all issues fairly and efficiently. Before taking legal action, both parties agree to attempt informal resolution or mediation.

  20. Jurisdiction
    These terms are governed by the laws of Scotland. Any disputes will be settled exclusively in Scottish courts.
