Who is responsible
OVM Ltd (company number SC834621) is the data controller for personal data collected through ovmtransport.com, the quote form, emails to [email protected] and calls to 0141 459 1302. Our registered office is 48 West George Street, Glasgow, Scotland G2 1BP.
To ask for a copy of the data we hold about you, to correct it or to have it deleted, email [email protected] or write to the registered office. If you are not happy with how we handle a request, you can complain to the Information Commissioner's Office.
What we collect and why
When you request a quote we ask for your name, phone number and the details needed to price a movement: vehicle registration, collection postcode, delivery postcode and the date required. If you include a company name or email address, we store those too. Calls to the office collect the same details, spoken rather than typed.
We use this information to quote, to book and run the movement, to send proof of collection and proof of delivery and to invoice you. We rely on three legal bases: taking steps at your request before a contract, performing the contract once you book and our legitimate interest in answering enquiries and keeping a record of our work.
The public quote form posts to FormSubmit, which emails your enquiry to [email protected] and acts as our processor for that step. We never sell enquiry data or use it to build marketing lists.
Website analytics and cookies
Our website uses Google Analytics 4, Mixpanel and Microsoft Clarity to understand how the public pages are used, such as which pages are opened, which devices visitors use and whether the quote form is submitted. Google Analytics records page views through Google. Mixpanel is set up as an EU project, and where session replay is enabled, form fields are masked so registrations and phone numbers typed into the form are not stored as readable text. Microsoft Clarity records heatmaps and session recordings, with form fields masked under its default settings.
Your device may store a theme preference in local storage so the site remembers light or dark mode. That value does not identify you and is never sent to us.
We do not run advertising pixels and we never pass website analytics to data brokers.
How long we keep it
Quote enquiries that do not become bookings are kept long enough to answer follow up questions and are then deleted. Bookings, proofs of collection and delivery and invoices are kept for as long as we need them to run the job, handle a claim or meet our tax and accounting duties.
If you ask us to delete your data we will, unless we still need it for a booking, a claim or a legal obligation, or to establish, exercise or defend a legal claim. If that applies, we will tell you plainly.
Your rights
You can ask for a copy of the personal data we hold about you, ask us to correct or delete it, object to our use of it or ask us to restrict how we use it. Where the law gives you the right, you can also ask for the data you provided to be passed to another controller in a machine readable format.
Send your request to [email protected] with enough detail for us to find your record, which for a quote is usually the phone number or email you used and a rough date. We do not charge for reasonable requests.
This notice covers our public website and enquiries sent to the office. Customer portal and driver app accounts, where they exist, are covered separately with the people who hold those logins.
