# What to confirm before you book a trade plate driver

Dealers already have posts on failed collections, part-ex, one registration and release codes. Controllers still send half a job and then ring at noon asking where the car is. ## The five things that stop a booking leaving the office

OVM is a Glasgow motor-trade office. We drive one roadworthy car or van on trade plates, Nationwide. Valid MOT. Digital proof of collection and delivery. Not a transporter. Not a non-runner.

1. The registration. One VRM. Not a stock number. Not "the black Golf on the front row". If you have five cars going the same way, that is five driven jobs or a truck. 2. Both postcodes and the job type in one line. Collect and deliver. Plus what the afternoon actually is.

Site transfer between your own roofs. Retail handover to a named buyer. Part-ex still on a customer's drive. Auction lot after release.

Same plates. Different notes. If you only send two postcodes, the office has to guess. Guessing is how a stock price lands on a customer door. 3. Roadworthy and legal to drive. Valid MOT where one is required. Drives, steers, brakes. Fuel or charge for the first leg.

4. Keys, contact and access. A mobile that rings. Someone who actually has the keys. Gate code or yard contact if it is not a public road.

5. Release, if it is behind a compound gate. Release code or buyer reference confirmed with the site. Named collector if that yard needs one. We do not dispatch on a hope while storage keeps running.

## What we refuse to pretend

A list of five treated as one plate job. A dead MOT because the distance looks short. A compound with no release yet. A customer who might be in. A switchboard as the only contact.

## What to paste into the quote notes

Registration. Both postcodes. Date. Company, phone, email. One line of job type. Named contact at each end. Release details if it is auction. Write "van" if it is a van.

Examples that work:

- Dealer transfer, both roofs manned.
- Retail handover after 4, customer aware.
- BCA Glasgow after release, into our prep.

## Who should own the booking at the dealer

Sales promised a time. Prep has the keys. Accounts has the purchase order. The driver needs one of those people named, not all three arguing after he is in the yard.

Put a mobile that answers. If sales owns the customer handover, sales is the contact. If prep owns the stock transfer, prep is the contact. A showroom dump from the switchboard is how a collection window dies.

Do not copy last week's notes onto a new registration. Last week was a compound after release. This week is a cul-de-sac. Same plates. Different job.

 Is this the same as a rate card?

No. The checklist is what makes a driven quote real. The price is the job on the day, not a mileage chart.

 Can accounts send a PO without the VRM?

We can talk. We cannot finish a driven quote without the registration and both postcodes. Lists are fine. Blank lines are not.

 What if the car is ready but the buyer is not?

Hold the booking. A retail handover without a named person at the door is a failed collection waiting to happen. Tell us when they are actually there.

 Do you only work with franchise groups?

No. Franchise, independent, van centre, auction buyer. Same form. Authority to take the vehicle and someone who knows we are coming.

### Collecting a part-ex from a customer's drive

A part-ex collection is the car still on a customer's drive. Not a compound. Not a dealer roof. Not a sold car going to a buyer. There has to be a named contact who actually has the keys. ### Name the collector before the driver sits in the lane

The compound will not release a lot to a stranger at the barrier. Buying it is not naming who is collecting. OVM has to be the named collector, with identification and plates, before a driver is sent. If you name nobody, the driver waits in the lane and storage keeps running.
